What Is Xero?

The implementation plan is built to provide you with a strategic tool that provides financial clarity for your business, with pricing starting at R13,750 per month, for 3 months.
Xero Setup
We assess how your business operates, including the people, processes, and volumes of invoices, bank lines, and journals, to plan the best way to implement Xero that supports your business.
We set up your Xero account with all the essentials: chart of accounts, invoice templates, tax rates, user access, and tracking categories. Everything is customised so that Xero works the way your business works.
Timeframe: 1-2 weeks to gather the source data from you, get the account set up and start the data migration.
Data Migration
Your financial history comes with you. We import the opening balances, outstanding invoices (bills in Xero), bank balances, currency conversion rates if needed, and all transactions since the start of your financial year. This ensures your data is complete, accurate, and ready for reporting from day one.
This is one area that can drive up the project cost if there is a lot of historical data to be migrated, or if you would like to migrate your systems in the middle of a financial year. Get in touch, and we can confirm what’s required.
Timeframe: 2-4+ weeks, depending on the source format of the data.
Integration
Xero becomes the foundation of your financial ecosystem. We integrate payroll, inventory, reporting and e-commerce platforms, such as SimplePay, Fathom, Syft, Cin7, or Shopify. Information flows both ways, and wherever possible, we automate the process to save time and reduce errors.
We include payroll and reporting integrations in our implementation. If you have inventory, CRM or point of sale integrations, this may require additional analysis for the migration plan.
Timeframe: 1-2 weeks, when we are working with the systems we know well. If you have a bespoke platform, it can take longer to test the integration flows.
Training and Support
We deliver three practical hands-on training sessions using your live data. Your team will learn invoicing, supplier bill management, fixed asset recon, pulling P&L, balance sheet reporting, and the bank reconciliation process.
We can arrange for additional training sessions as a bundle or on a recurring weekly basis until the team are Xero pros.
Timeframe: 1-2+ weeks.
Ongoing Support
Recordings and ongoing support mean you always have backup when you need it. You can use Xero’s very useful operational guide or book in additional sessions with us. Drop us a line, anytime.

Simple businesses can be running within a week, while more complex setups with data migration and integrations may take up to a month. Is Xero the best choice for an SME?
Yes, Xero is the superior choice for growing businesses. While QuickBooks costs significantly more ($35–$200/month vs. Xero’s $20–$80) and charges per user, Xero offers unlimited users at no extra cost and better international capabilities. FreshBooks is limited to basic freelancer needs without full accounting features. Xero’s 1,000+ app integrations, modern cloud-first design, and excellent bank reconciliation outperform competitors. Most businesses that try alternatives ultimately switch to Xero, thanks to its intuitive interface and comprehensive feature set, which offers better value.
Is Xero just for small businesses?
We’ve found Xero is great for a variety of SMEs, and we’ve run large businesses on it (+R200m revenue per annum). What we focus on upfront for a successful implementation is whether business operational flows align with Xero’s functionality. For example, Xero allows for one level of invoice approval; if you need three, an app plugin is required.
In terms of actual volume limits, it works best for companies with fewer than 1,000 monthly invoices. Some other key limits include 4,000 inventory items, with potential performance issues arising above 2,500 transactions per month.
Is Xero good for VAT-registered South African businesses?
Absolutely. Xero excels in South African VAT compliance, offering automatic 15% VAT calculation, integrated VAT201 return preparation, and direct SARS eFiling integration. You can handle zero-rated exports, exempt supplies, and submit returns electronically by the end of the month (instead of the 25th for manual submissions). Xero also supports provisional tax (IRP6) submissions and integrates seamlessly with local payroll providers such as SimplePay for EMP201 eFiling.
Do I need an accountant to use Xero?
Not required, but recommended. Xero is user-friendly for basic bookkeeping, but complex tasks such as tax compliance, financial reporting, and setup optimisation benefit from professional help.
