The report is the last mile

When a management pack disappoints, the instinct is to go shopping for better reporting software. It is the least effective fix on the table, because a report is only a view of your data. The outputs are only as good as what sits underneath them.

So we start three layers down, with what your business actually does and whether your chart of accounts would tell that to a stranger. Get that right and margin by service line, profit by customer and the reason behind every movement fall out of the accounts on their own. Nobody assembles them at month end. They are simply there, every month, comparable over time.

This is where Fathom is strongest, and it is the reason we keep choosing it. We run groups from two companies to twenty. Multi currency, inter company eliminations, a consolidated pack plus a pack per entity, and one view with every company stacked side by side and the eliminations visible, which is the report accounting teams actually ask for. All of it exports to Excel.

A management pack has one job. It has to connect your business to your numbers, in a way the whole executive team can pick up and follow without a translator.
So we build it to be read. It opens with where the business is, moves through what changed and why, and lands on what that means for the decisions in front of you. Every number sits next to its reason. Nothing arrives as a wall of figures with a cover page on top.
That structure is the difference between a pack that doesn't get a pre read and a pack that sets the agenda for the meeting.

What is Fathom?

Fathom is a financial analysis and reporting platform that sits on top of your accounting system. It pulls your figures straight out of Xero, with no re-keying and no copy and paste, and turns them into a management pack: profit and loss, balance sheet, cash flow, ratios, charts, non financial KPIs and written commentary, all in one document.
It does not process transactions and it does not replace your accounting system. It is the layer that takes what is already in Xero and makes it readable by the people who have to make decisions from it, most of whom are not accountants.

What's in every pack

All of it rests on the data underneath. Fathom presents what the ledger gives it, so the accounts come first and the pack comes second.

Every number with a reason

Overheads up forty percent? The line underneath says the directors drew against loan accounts last quarter and salaries have normalised. You move on in four seconds instead of losing an afternoon.

Margin by service line

Not the biggest line, the most profitable one. Revenue and cost of sales split the same way, so margin falls out of the accounts on its own.

Profit by customer, not revenue by customer

Revenue ranks your customers by what they pay you. Profit ranks them by what they leave behind. Pricing conversations get easier when you can point at a number.

Cash, in the good months too

Operating and free cash flow, receivables aged and named so collections becomes a decision. For funded businesses, runway, burn, and the monthly number that returns you to breakeven.

The KPIs that never touch the ledger

Revenue per head, billable hours against target, recurring gross profit against overheads. They come out of time systems, CRMs and, more often than anyone admits, a Google Sheet.

Any firm can connect Fathom to Xero. What comes out the other side is only as good as the chart of accounts underneath it and the person writing the commentary on top and interpreting that that means for your business.

That is the part we do, and it is why we would rather be plugged in every month than hand over a setup and wave. A pack is not a compliance exercise you finish and file. It is the agenda for a conversation, and when the reasons are already on the page the meeting skips past what happened and lands on what to do: reprice the line that is carrying you, put real money behind the product that is working, make the hire, buy the business.

If you need tracking category reporting across a group, Syft does that and Fathom does not. That is a real reason to choose Syft and we will say so. Where Fathom wins for us is the packaged monthly pack, the commentary, the non financial KPIs, the visuals and multi currency group consolidation. Our team also took to it far faster, which in practice matters more than any feature list.

Xero’s reports are good and they do not do everything. Answer on what each one is for. Xero for the ledger view, Fathom for the packaged monthly pack with commentary, KPIs and consolidation.

We ran Spotlight for years before we moved. Say why, plainly and without knocking them. It is a fair question and we are one of very few firms who can answer it from experience rather than a comparison table.

It has forecasting, and we are honest about the limits. It is not Excel and it is not Google Sheets. The regression rules and timings are there, but not precise enough for the forecasting metrics we need, so we build forecasts elsewhere and report in Fathom.

A single entity takes four to six weeks. A group is an eight to twelve week project. If the underlying accounts need rework first, and they often do, treat it as a four to five month project. The variable is never Fathom, it is the state of the data.

No. Sage, QuickBooks and MYOB connect too. We work with it on Xero, and we say so.

Yes, and it is the strongest thing it does. Multi currency, inter company eliminations, a pack per entity alongside the consolidated pack, and an Excel export. Our range is two companies to twenty.
