How do we prioritise our time as professionals using focus sessions

Focus sessions are an integral part of how we deliver financial management services and ensure value for our clients. It’s our way of making sure we deliver on our responsibilities to your business. 

As a starting point we want to be as agile as possible to our customers requirements. To achieve that, within the bounds of a working day and across multiple high growth businesses, we’ve discovered having dedicated customer focus sessions allows us to bring in a regular touch point which has both flexibility in terms of agenda as well as regular, pre-defined tasks. We can tackle the expected, and unexpected, on a regular basis. 

Below, we’ll explain what a focus session is and how they work. We’ll also go over how we handle urgent requests that come up outside of the focus sessions.

What is a focus session? 

The focus session is a dedicated time slot where a team member is working exclusively on your business. We have a few different types of focus sessions at present: 

  1. Financial systems focus session
  2. Bookkeeping focus session 
  3. Financial management focus session
  4. Banking & treasury focus session 

The idea is to create a fixed routine throughout the month while addressing all your queries in a structured way. 

How does a focus session work

  1. We figure out how many focus sessions you need for each of the core areas (financial systems, bookkeeping, banking and treasury and financial management) 
  2. We put the hour-and-a-half focus sessions into our calendars and let you know when they are in case we need to contact you during the session 
  3. We organise the agenda for the season with a priority list – at this stage, you’re free to move the priorities around to suit your goals 
  4. We put our heads down to get through the work and send a concluding email summarising everything we achieved in the session 

Why focus sessions are important

With time, we’ve seen that focus sessions are the best way to ensure that your business needs are met. They’re a key part of the way we deliver world-class financial management. Focus sessions keep the lines of communication open and help us stay on the pulse of your business. Ultimately, this means we can deliver the best service in the most efficient manner. 

How we deal with urgent requests outside of focus sessions 

In cases where something urgent comes up that needs to be done straight away, you can book a call with the team leader. The contact details will be part of the focus session emails you receive, and you can always call our office to let our Business Administrator know there is an urgent request.

Once the team leader receives the urgent request, they’ll assign the right resource to support you. Normally, we’ll assign your usual account manager to help but occasionally we’ll look across the team for the person with the relevant experience to solve the problem.
